How Access to Past Data Works
Classes are organized by school year. When a new school year begins, classes from previous years are archived but remain available for reporting and review.
Teachers can access historical data through:
- My Classes
- Gradebook
The best option depends on whether you want to review a specific archived class or search across multiple classes and students.
Option 1: View Archived Classes
Use this option when you know the class you want to review.
To view classes from a previous school year:
- Go to My Classes.
- Use the School Year filter to select a previous school year.
- Review the list of classes from that year.
- Select View Class for the class you want to review.
From the class page, you can access course information, student progress, grades, and completion data for that class.
Option 2: View Previous School Year Data in Gradebook
Use this option when you need to review student data across classes.
To access previous school year data in Gradebook:
- Select Gradebook from the navigation menu.
- Select the curriculum you want to review.
- Use the School Year filter to select a previous school year.
- Optionally apply additional filters, such as:
- Class
- Certification Status
- Student Name
- Review the filtered results or open a student's grade details.
This view makes it easier to locate student records and performance data across multiple classes.
View Student Progress and Grades
From an archived class or the Gradebook, you can review available student data, including:
- Course progress
- Assessment scores
- Completion status
- Certification status
- Student grade details
Availability of specific information may vary by course.
About Certificates from Previous School Years
Students can access their own certificates by logging in to their account and downloading them from their dashboard.
Teachers can review certification status and available certificate information within supported reporting views. If a student needs a copy of a certificate, direct them to log in to their own account.
Important Notes About Past Data
- Archived classes remain available for review.
- Data can be accessed through either My Classes or Gradebook.
- Availability of specific data may vary by course and school year.
- Teachers may not be able to modify archived classes or perform actions that affect previous school-year enrollments.
- Some reporting options may differ from current-year classes.
Requesting Older Data
If you cannot locate the information you need, contact Everfi Support.
Be prepared to provide:
- The school year
- The class name
- The course or curriculum name
- Any relevant student information
This information helps the Support team investigate available historical data.
